Overview

We are seeking an experienced, certified, and detail-oriented Finance and Operations Manager to join our team on a part-time basis. This role is a hybrid of senior-level bookkeeping and essential corporate operations.

 

The ideal candidate is a Full-Charge Bookkeeper with a proven track record in the non-profit sector. You will take full ownership of our daily financial ecosystem, manage invoicing and bill pay, support our annual independent audit, and ensure our corporate filings and compliance remain flawless. 


Key Responsibilities


Financial Management & Bookkeeping

  • Core Books: Record, track, and accurately categorize all financial transactions using QuickBooks.
  • Auditing & Reconciliation: Perform monthly audits of bank statements and credit card accounts to ensure exact balancing.
  • Investment Asset Tracking: Monitor and track Certificate of Deposit (CD) maturity dates, interest rates, and renewal timelines to optimize cash reserves.
  • Reporting: Produce monthly reports for NERC and ERCC, alongside bi-annual Treasurer's Reports and custom QuickBooks data modifications.
  • Audit Support: Manage the preparation phase and provide primary data support for the organization’s annual financial audit.


Cash Flow & Accounts Management

  • Accounts Payable: Oversee the full bill-pay cycle, managing vendor relationships and timely payouts.
  • Accounts Receivable: Generate and distribute membership and operational invoices; systematically track collections.


Compliance & HR Operations

  • Corporate Compliance: Manage and file annual state registrations, registered agent updates, and state charity renewals.
  • HR Administration: Organize payroll variables for processing and oversee internal benefits tracking.


Required Qualifications

  • Certification: Active professional bookkeeping certification required (e.g., AIPB Certified Bookkeeper, NACPB Certified Public Bookkeeper, or advanced QuickBooks Online ProAdvisor certification).
  • Experience: Minimum of 3–5 years of full-charge bookkeeping experience.
  • Sector Expertise: Strong preference for candidates with dedicated non-profit experience, including fund tracking and charity compliance.
  • Software Mastery: Expert-level proficiency in QuickBooks and digital filing ecosystems.
  • Knowledge of Bill.com
